How to set up online bookings on Timeo (step-by-step guide)

A complete guide to online bookings on Timeo: add services with durations, assign staff and working hours, test the customer slot picker, and cut no-shows with reminders and a waitlist.

This guide sets up online bookings end to end on Timeo — services, the staff who deliver them, working hours, and the customer slot picker — so customers can book themselves and you never double-book.

1. Add your services

In your dashboard, add each thing a customer can book: a haircut, a PT session, a consultation, a class. For each service set:

  • Name — what the customer sees.
  • Duration— how long it blocks the calendar. This is what spaces out the slot picker so two bookings can’t overlap.
  • Price — shown at booking (you can hide prices for quote-based services).

2. Add your staff and what they do

Add each staff member, then assign which services they can deliver. A customer booking a service only ever sees staff who actually do it — so no one books a massage with the receptionist.

Set working hours

Give each staff member their weekly availability. This is the single most important step: the slot picker is built entirely from staff hours minus existing bookings. A staff member with no hours set will show “no openings” on every date.

3. Test the customer slot picker

Open your storefront link and book a slot as if you were a customer:

  1. Pick a service → it shows only eligible staff.
  2. Pick a staff member (or “Any available”) → the calendar shows open times for the next two weeks.
  3. Pick a time, confirm → the booking lands in your dashboard, and the customer can add it to their calendar.

4. Cut no-shows

Turn on booking reminders so customers get a nudge before their appointment. For popular slots, a waitlist auto-promotes the next person when someone cancels — the freed slot fills itself instead of sitting empty.

Managing bookings day to day

  • Calendar view — see the day as a resource grid, filter by staff.
  • Reschedule / cancel — from the booking detail; cancelling frees the slot (and promotes the waitlist).
  • Members can self-serve— signed-in customers can cancel or leave a waitlist from their own “My appointments” panel, so it’s not all on you.
